Administrative Assistant 3 - DEI, Institutional Effectiveness, HR

The Opportunity: The Administrative Assistant 3 will provide support to highly complex organizational and institutional matters overseen by the Office of Equity and Inclusion (OEI) and Office of Institutional Planning and Institutional Effectiveness (OPIE). Provides.  The offices of Equity and Inclusion and Planning and Institutional Effectiveness work together closely to provide data on effectiveness, student success, institutional planning, equity and inclusion efforts for Skagit Valley College. This position works closely with faculty and staff to further the mission and vision of the college consistent with SVC's guiding principles.

In addition, this position will provide administrative support to the Vice President of Human Resources. This is a full-time, 40 hours per week, Classified position working on the Mount Vernon Campus. The position will report to the VP for Planning and Institutional Effectiveness. 

The Location: Skagit Valley College is on the traditional and unceded territories of the Coast Salish People’s, especially on Swinomish Indian Tribal Community, Upper Skagit Indian Tribe, Samish Indian Nation, Nooksack Indian Tribe, and Sauk-Suiattle Indian Tribe. Located in a geographically diverse region between the dynamic metropolitan hubs of Seattle and Vancouver, BC, SVC is never far from world-class outdoor recreation, urban arts scenes, and local cultural events. Program Support and Event Planning

• Provide specialized administrative support, and/or technical duties in conjunction with Office of Planning and Institutional Effectiveness and Office of Equity and Inclusion;
• Provide planning and logistical support for Equity Cohort programs, related but not limited to Champions of Diversity, Pre-Commencement Celebrations, El Grito and other college-wide events under Office of Equity and Inclusion; 
• Provide support to Equity and Social Justice Committee;
• Participate in college and district committees, task forces and other work groups to further the goals and objectives of the Office of Diversity, Equity and Inclusion and the college;
• Provide planning and logistical support for Cardinal Community Day, a professional development event, and other community events initiated by the Office of Equity and Inclusion and Human Resources; 
• Plan and execute college events including program logistics, on-site event management, contracts and clean up;
• Communicate event scheduling and needs with program directors, staff, venues, vendors, speakers and guests; 
• Attend and monitor activities and programming to ensure student support and satisfaction.

Assessment and Evaluation

• Provide analysis regarding educational data and outcomes, including enrollment and student success in equity cohort programs;
• Audit, track, and develop an inventory of equity-based training offerings across the campus;
• Assist with ongoing evaluation of programming efforts and suggest strategies for improvement; select indicators and tools that address relevant questions to assist all stakeholders in growth and quality improvement efforts;
• Coordinate efforts to produce an efficient and effective communication amongst programs. Troubleshoot, identify, and resolve problems and issues related to the development of events; confer with administrators, information systems personnel, faculty, and other staff to develop solutions and recommendations;
• Oversee, maintain, prompt, and facilitate Cardinal Community Day evaluation and feedback;
• Assist in organizing and running student and staff focus groups and other feedback sessions and opportunities;
• Provide necessary data and analysis for Strategic Priorities related to Student Success and Diversity, Equity and Inclusion Indicators;
• Develop, recommend, and implement techniques and practices to improve student retention and completion.

Administrative duties

• Provide ongoing administrative support to the Vice President of Planning and Effectiveness, Vice President for Equity and Inclusion and Vice President of Human Resources;
• Monitor and manage DEI and OPIE budgets;
• Process travel and purchasing in college ctcLink system;
• Ensure compliance with appropriate state and college accounting, travel, contracting, and purchasing rules and regulations;
• Reconcile credit card statements;
• Maintain and update professional development records and provide support with registrations;
• Track bias incident report data;
• Draft MOU’s and contracts related to partnerships and collaborations for the Vice President’s approval;
• Maintains the DEI SharePoint, Shares Drives, websites, Teams accounts and social media;
• Provide technical expertise, reports and support to division staff and administrators regarding diversity, equity and inclusion metrics;
• Maintain and update OEI and OPIE files and other related databases;
• Perform a broad and complex variety of administrative tasks;
• Perform related duties as assigned.

• The position requires excellent interpersonal, communication and problem-solving skills, combined with a collaborative work style;

• Address problems from a broad interactive perspective using advanced research and analytical skills to conceive new solutions;
• Use independent judgment in the analysis, interpretation, integration and application of complex data and information related to instructional matters;
• Perform data analysis and build reports utilizing Excel;
• Create periodic reports that meet college, accreditation, and other stakeholder interest;
• Adhere to college and state processes, procedures, and deadlines;
• Resolve conflicts and address faculty, staff, and student concerns in a fair, equitable manner;

Minimum Qualifications:

• Bachelor's Degree or combination of education and experience;
• Budgeting experience;
• Demonstrated commitment to equity, diversity, and inclusion.

• Experience with Modern Campus products TargetX and CTC Link;
• Three years of progressively responsible experience as an administrative assistant for a senior-level manager; 
• Experience with PeopleSoft/ctcLink or similar software system;
• Experience working with and supporting culturally, economically, and racially diverse students and faculty at an institution of higher education;

Salary and Benefits:

• Salary is based on Range 40, Step A, $3,477 per month with periodic increments to $4,517 per month.  Starting salary may be dependent on education, qualifications, and experience. Salary and benefits are subject to change in accordance with legislative mandates and collective bargaining agreements. 
• This position is eligible for overtime pay in accordance with the Fair Labor Standards Act and is dependent upon continued grant funding.
• This is a union-represented position subject to a collective bargaining agreement.
