The Advancement team cultivates, solicits, and stewards individuals, as well as foundation, government and corporate partners who invest in the Society to drive impact through science, technology, education, exploration, and storytelling. The team collaborates with Society teams β and often works closely with NGP/Disney β to build transformative and impact-driven strategic partnerships. The team also produces global events that deepen connections and leverage the Societyβs power to convene, and directs robust annual, major, and planned giving programs empowering the Society with a broad base of public support.Your Impact
Responsibilities Include:
Event Registration (50%)
Responsible for working with Advancement Operations and other teams to compile invitation lists for events.
Build and maintain simple to complex registration sites and deploy invitations primarily using the Swoogo platform.
Circulate RSVP lists and event metric reports twice weekly or based on individual event needs to share with internal partners and hosts.
Work with the team to build and deploy post-event surveys and other metrics that provide relevant insights for future projects.
Support inputting and analyzing the registration data for quarterly ROI reports.
Manage the name badge printing process and other on-site registration needs.
Explore new technologies and industry best practices to implement that will improve the teamβs registration processes, engagement tactics, and on-site experience for guests at events.
Event Marketing & Communications (30%)
Outline key event communication deadlines and maintain the event marketing production calendar for Advancement Special Events.
Communicate between departments to develop invitation lists as well as create and manage follow-up strategies.
Independently draft initial invitation and quality communications distributed to attendees to drive attendee engagement and satisfaction.
Work with the Creative team to design invitations, event websites, and other marketing materials.
Build event websites and deploy invitations using Swoogo.
Liaise between the events team and the systems integration team (Advancement Operations, Swoogo, Raiserβs Edge, etc.) to ensure accurate data management and reporting.
Serve as the Advancement Special Events Teamβs Swoogo expert and POC for support.
Regularly and clearly communicate planning updates and attendee data.
Provide all guests with clear communication from invitations, confirmations, plan-your-visit emails, personalized travel itineraries for event attendees as needed, and post-event thank yous and communications.
Communicate directly with attendees to answer questions and address special needs.
Work enthusiastically and collaboratively with colleagues to ensure the strategic goals of each event and the Society are met.
Advancement Special Events Team Administration (20%)
Liaise with Legal to process contracts and move them through the system to payment.
Manage invoice tracking and processing of payments for events.
Ensure events are accurately represented in the Global Special Events team calendars.
Manage the inventory and shipping of supplies for Regional Donor Events.
Manage and track accommodations, airfare, and ground transportation and process reimbursements for all program participants.
Production support for events and the team as needed.
Work collaboratively with the Specialist, Event Registration for Signature Events to support each other and provide back up as needed.
Special projects as assigned by the Senior Director or Director of Advancement Special Events.
What Youβll Bring
Educational Background
Bachelorβs degree preferred
Minimum Years and Type of Experience
3+ years of event marketing and registration experience
Experience working in registration platforms required. Experience using Swoogo is preferred.
Previous event experience required. Donor specific event experience preferred.
Necessary Knowledge and Skills
Proficiency in event management systems for registration (Swoogo preferred)
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively
Strong attention to detail with excellent follow through
Excellent writing and communication skills
Ability to work in a fast paced environment and deliver results while managing competing priorities under tight deadlines
Proactive, self-starter, and active problem solver
Experience in attendee or donor facing role with diverse audiences
Some evening and weekend hours required in addition to the potential for occasional domestic travel
Desired Qualifications
Business writing and marketing experience
Ability to prioritize workload proactively and expeditiously
Demonstrated ability to take initiative, anticipate needs, and exercise independent/sound judgment
Technology Fluency with basic office platforms (MS office, G suite, Adobe, Slack) and the ability to learn and evaluate new event technology platforms comfortably.
Graphic design experience is a plus
A detailed and analytical mind, ability to read and understand how to present data to drive decision making
Experience in and knowledge of event marketing and registration systems

The salary range for this position accounts for a wide range of factors including but not limited to organizational need; specific skill sets; experience and training; certifications; and more. At the National Geographic Society, individuals are typically hired at or near the starting point of the salary range for their role, and compensation decisions are dependent on the facts and circumstances of each case.
The salary range for this position is $61,700 - $65,000.

Resident - Our Resident category recognizes that certain staff need to be physically present at Base Camp to do their work. Some Resident staff must be at Base Camp every day to do their jobs, while others may only need to be physically present onsite some of the time to meet looming deadlines or to get work done and may require a unique schedule. As such, this category has been revised to provide maximum flexibility depending on whatβs required for each individual role. The days Resident staff come into the office will be determined by their teams and workflow, and they should work with their supervisors to determine their specific schedule. And throughout the year, their schedule may be adjusted based on cyclical work cycles, deadlines, and/or ebbs and flows of work.Candidates must be legally authorized to work in the United States.
